2.WHAT DATA DO WE COLLECT ABOUT YOU, FOR WHAT PURPOSE AND ON WHAT GROUND WE PROCESS IT
Personal data is any information that can identify you as an individual. It does not include anonymised data. We may collect and process the following categories of personal data:
Communication Data. This includes any communications you send us — via our website contact form, email, WhatsApp, text, or social media. We process this data to respond to your enquiries, maintain records, and to establish, pursue or defend legal claims. Our lawful basis is legitimate interests.
Customer and Transaction Data. This includes your name, email address, phone number, billing address, and payment details related to any purchase of coaching services. Payments are processed securely via Stripe — we do not store your full card details. We process this data to deliver the services you have purchased and to keep accurate records. Our lawful basis is performance of a contract.
Coaching Session Data. During coaching sessions, you may share personal information about yourself, your family, your children, or your parenting circumstances. This may include information about your children's health, neurodevelopmental conditions (such as ADHD), or emotional wellbeing. Under UK GDPR, health-related information is classified as special category data and receives additional protection.
We collect this data only because you have chosen to share it as part of the coaching process. Our lawful basis for processing special category data is your explicit consent, given when you agree to our Terms and Conditions and engage in coaching sessions. You may withdraw this consent at any time by contacting us, though this may affect our ability to continue providing coaching services.
We will never use information shared in a coaching context for marketing, profiling, or any purpose other than delivering your coaching sessions and maintaining required records.
Website Usage Data. This includes information about how you use our websites — pages visited, time spent, navigation paths, and similar analytics data. We use this to improve our websites and understand what content is most useful. Our lawful basis is legitimate interests.
Technical Data. This includes your IP address, browser type, device information, and cookies data. We use this to keep our websites secure and functioning properly. Our lawful basis is legitimate interests. Please see Section 11 for more on cookies.

You can opt out of marketing communications at any time by clicking the unsubscribe link in any email we send, or by emailing us at info@theartofperception.co.uk. Opting out of marketing does not affect data we hold for other purposes, such as your coaching records or purchase history.
5.WHO WE SHARE YOUR DATA WITH
We may have to share your personal data with the parties set out below:
Other coaches or companies who provide services to us.
Service providers who provide IT and system administration services.
Professional advisers including lawyers, bankers, auditors and insurers
Government bodies that require us to report processing activities.
Third parties to whom we sell, transfer, or merge parts of our business or our assets.
We require all third parties to whom we transfer your data to respect the security of your personal data and to treat it in accordance with the law. We only allow such third parties to process your personal data for specified purposes and in accordance with our instructions.

Some of our third-party service providers are based outside the United Kingdom. Where we transfer personal data internationally, we ensure appropriate safeguards are in place in accordance with UK GDPR requirements.

Coaching session notes and related records are retained for a minimum of two years following your final session, in line with our professional obligations.
Financial and transaction records (including purchase data processed via Stripe) are retained for six years, as required by HMRC for tax purposes.
Marketing preferences and communication records are retained until you opt out or request deletion.
When data is no longer required, it is securely deleted or anonymised. Anonymised data may be retained indefinitely for research or statistical purposes and cannot be used to identify you.
9.YOUR RIGHTS
Under UK GDPR, you have the following rights in relation to your personal data:

The right to rectification — you can ask us to correct inaccurate or incomplete data.
